Distribution Coordinator

Type of position: Full Time, Non-Exempt

General Job Description:

The Distribution Coordinator plays an instrumental role in ensuring we help individuals with their financial needs. This role provides client relationship and consultant support through gathering client distributions, tracking and monitoring distributions to ensure turnaround times are met, reviewing distributions to confirm quality work, training employees on distribution functions and performing other tasks as needed. The Distribution Coordinator will also respond to ad hoc requests, coordinate/track projects and/or manage business-as-usual projects as assigned by leadership. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities. Responsibilities and time allocation may change over time to meet the needs of the daily volumes which may include other duties as assigned by their supervisor.

Job Responsibilities:

  • Pull distributions from all vendor sites, portal, and distribution email box and log into Pension Pal

  • Keep track of daily distribution work being touched and completed

  • Monitor distributions that are not in good order and ensure they are being followed up on within our turn around time schedule

  • Review all distributions to ensure they are accurate and ready to be processed  

  • Train others on the different processes for distributions that are outside the “normal vendor process”.  (Brokerage Account, Refinance of Loans, PenChecks)

  • Process/Review non-routine distributions (Corrections, RMDs, Forceouts, etc.)

  • Process distributions when volumes are high and/or team members are out

  • Perform other related duties as requested by leadership

Qualifications:

  • Working knowledge or ability to quickly grasp concepts of reading, reviewing, and understanding plan distributions; withdrawals, loans, hardships, QDRO’s, etc.

  • Working knowledge or ability to quickly grasp concepts of reading, reviewing, and understanding plan legal plan documents.

  • Ability to use and exemplify proficiency in Microsoft Office Suite, Excel, Word, and Outlook along with Adobe.

  • Working knowledge of Pension Pal a plus

  • Ability to establish priorities, work independently, and proceed with objectives without supervision

  • Ability to handle and resolve recurring problems

  • Desire to work with team members to meet collective deadlines and goals

  • Superior organizational and coordination skills

  • Flexibility, adaptability, and ability to multi-task

  • Exceptional attention to detail and organization

  • Excellent interpersonal and communication skills, both written and verbal

  • High School Diploma or Associate’s Degree preferred but not required
